Step 2.2: Add Your First Accommodation

Updated this week

Adding your first room or accommodation will give your customers an idea of the different accommodation options they have and the availability for each type. Follow our easy step-by-step guide here.

Click on the image below for a step-by-step visual guide on how to add an accommodation.

1. Create New Accommodation

Go to your Checkout Flow dashboard and click "Create New Accommodation" in the "Your Accommodation" section.

2. Fill in the Accommodation Details

Complete each section with the details your customers will need to know when they book.

  • Name: Give your room or accommodation a clear, descriptive title.

  • Description: Provide detailed information about the room or accommodation. Be as descriptive as possible, highlighting aspects like view, bed size, and included amenities. Add details such as check in and check out time.

  • Choose Images: Upload multiple images to display your room or accommodation. The first image will be set as the cover. Ensure these images are high quality and accurately represent the space.

  • Room Type: Choose between a Private or Shared room.

    • Private Rooms: Suitable for individual bookings where guests have their own private space. You should state the number of rooms and the maximum number of guests per room.

    • Shared Room: Ideal for hostels or budget accommodations where guests share the room with others. Specify the maximum number of guests for that room type.

  • Additional Information: This feature allows you to gather important details from guests during the booking process, ensuring you have everything needed to provide a smooth and personalized experience.

For more details on what these fields are and how to set them up, check out our full guide here.

    • Special Requests: After confirming their booking, guests will have the option to add any requests related to their booking, such as dietary preferences or accessibility needs.

    • Optional Field (additional information question): You can also add an optional field to collect specific information necessary for the reservation process.

      For example:

      • Arrival time

      • Contact phone number

      • Nationality

      • Flight information

3. Set the Availability

Define when your room or accommodation is available to book:

  • When is the product available?: Specify if the room is available every day or only on certain weekdays.

  • Start Date: Include the date from when your room is available to book.

  • End Date: If your room is only available for a specific date range, select its end date.

4. Set Your Pricing & Rate Plans

Manage your live prices and policies directly in the Pricing and Rate Plans tab of your accommodation.

  • Activate Rate Plans: Scroll to the Inactive Rate Plans section and click "Turn On" to enable options like 'Refundable' or 'Non-Refundable.'

  • Set Your Prices: Use the Bulk Edit tool to set your rates for a date range. To ensure these prices apply to all future availability as it's generated, toggle the "Ongoing" checkbox to "stamp" the structure onto your calendar.

  • Create New Templates: If you need a brand new policy template (e.g., "Early Bird"), you can create it in Settings > Checkout Settings > Update your Rate Plans. It will then appear as an inactive option for all your products.

5. Your Accommodation is Live!

Congratulations! You have successfully added your first accommodation to Checkout Flow. This will now be visible to potential customers, increasing your booking opportunities.

You can make edits to the information, availability and pricing of the accommodation at any time through your dashboard.
